This policy explains how Optima Consultancy (UK) Limited collects and uses personal data. We process personal data in line with UK data protection law — the UK GDPR and the Data Protection Act 2018.
Who we are. Optima Consultancy (UK) Limited (“Optima”, “we”) is the data controller. We are registered in England and Wales, company number 06139211, registered office Incom House, Waterside, Trafford Park, Manchester M17 1WD. Our VAT number is GB 902 5191 52. What we collect.
• Identity and contact details: name, work email, employer, job title.
• Enquiry content and our correspondence with you.
• Registrations for our reports and webinars.
• Website usage data, through analytics (see our Cookie Policy).
Why we use it and our lawful basis.
• To respond to your enquiry and provide our services: performance of a contract, or our legitimate interest in dealing with your request.
• To send you the Mobile Banking App Review and webinar invitations: your consent, or our legitimate interest in keeping industry contacts informed. You can opt out at any time.
• To manage client and supplier relationships: performance of a contract, or legitimate interests.
• To meet legal, tax and accounting duties: legal obligation.
• To keep the site secure and understand how it is used: legitimate interests, and your consent for non-essential cookies.
Who we share it with. We use trusted providers to run the site and our work, including Squarespace (website hosting), Microsoft (email and Teams webinars), Adobe (report hosting) and LinkedIn. They process personal data on our instructions. We do not sell personal data.
International transfers. Some providers are based outside the UK. Where personal data is transferred abroad we rely on UK adequacy, the UK-US Data Bridge where the provider is certified, or the UK International Data Transfer Agreement (or the UK Addendum to the EU Standard Contractual Clauses), with appropriate safeguards.
How long we keep it.
• Enquiry and contact records: 24 months from last contact.
• Client engagement records: 6 years after the engagement (tax and limitation periods).
• Marketing contacts: until you opt out.
Your rights. Under the UK GDPR you have the right to access, rectification, erasure, restriction, objection and portability, and to withdraw consent at any time. To exercise any of these, email info@optima-consultancy.com. You can also complain to the Information Commissioner’s Office at ico.org.uk.
Changes. We may update this policy. The current version is dated above.
